A transcript of a student’s academic record is available online by accessing Student Self-Service, or by contacting the Marine Institute Registrar’s Office at MIRegistrar@mi.mun.ca. No transcript will be issued while the student is financially indebted to the Institute.
Term grade reports are released via student self-service at the end of each semester for all advanced diploma, post graduate certificate, technology and technician diploma and technical certificate programs. The term report includes numeric grades, or letter codes for which no numeric grade is assigned, for each registered course in that semester, as well as the student’s end of term academic standing.
1. A numeric grade from 0 -100% indicates the grade received.
2. A numeric grade followed by the letter “F” indicates a failing grade for courses in which the required passing grade is higher than 50%.
3. A linked course is a course comprising two components and is normally identified by the letter "A" or "B" as the last character of the course number. The “A” part of the course is evaluated as a pass/fail while the “B” part of the course is assigned a numeric grade.
4. Audited courses are not graded and are not considered a part of a student’s academic record.
5. When courses are evaluated on a Pass/Fail basis the following applies:
Letter Grade |
Result |
Description |
PAS |
Pass |
Indicates the student’s performance meets or exceeds expectations. A credit is awarded for the course. |
FAL |
Fail |
Indicates the student’s performance was below expectations. No credit is awarded for the course. |
6. Where circumstances warrant, and in accordance with the relevant Marine Institute regulations, a student may be assigned one of the following letter codes, for which no credit shall be applicable. Further explanation is available below for some of these codes.

7. Incomplete (INC) status may be granted to a student who, for extenuating circumstances, is unable to complete the requirements of a course. The student will be assigned a letter grade of INC in the course only with the prior approval of the course instructor.
a. This grade shall be valid for only two weeks following the start of classes in the next academic semester or session as stated in the Marine Institute Academic Diary. If a grade has not been received by the Registrar by this deadline the INC shall be changed to a numeric grade of 0% or FAL.
b. A student unable to complete the requirements of a course by the end of two weeks following the start of classes in the next academic semester or session as stated in the Marine Institute Academic Diary, may be permitted an extension of time not exceeding the last date for examinations in the semester following that in which the student was enrolled in the course. Such an extension may be granted by the school head at the request of the student. If a grade has not been received by the Registrar by this new deadline the INC shall be changed to numeric grade of 0% or FAL.
8. Grade not Received (GNR) Status may result when an instructor is delayed in finalizing course grades or may occur due to unforeseen circumstances in scheduling and completion of short courses for example.
a. A GNR grade shall be valid for only two weeks following the start of classes in the next academic semester or session as stated in the Marine Institute Academic Diary. If a grade has not been received by the Registrar by this deadline the GNR shall be changed to a numeric grade of 0% or FAL.
b. In cases where the completion of course requirements are dependent on operational issues within a school, GNR grades may be in effect until the last date for examinations in the semester following that in which the student was enrolled in the course. If a grade has not been received by the Registrar by this new deadline the INC shall be changed to numeric grade of 0% or FAL.
9. Aegrotat status may be granted to students in their final semester or session who were prevented from writing a final examination where one has been scheduled, or who were prevented from completing the semester's or session's work, for reasons which qualify them to write a deferred examination. Students meeting this criterion, may, in exceptional circumstances, be given credit for the course on the recommendation of the academic school to the Undergraduate or Graduate Studies Committee who will have final approval.
a. Application for aegrotat status, with full details duly authenticated, must be made to the Registrar at MIRegistrar@mi.mun.ca , indicating each course for which the application is being made, within one week after the last day of final examinations.
b. Courses for which aegrotat status is approved will not be assigned a grade. Aegrotat (AEG) will be entered on the student’s permanent record.
1. Provided that students submit work by the due date outlined in the method of evaluation, instructors shall mark and return work that is worth a total of at least 20% of the final grade before the last day to drop courses without academic prejudice. This excludes practicums, placements, internships, theses, and courses where a single piece of work is used to determine the entire mark for the course. In exceptional circumstances, a waiver of this clause may be granted to an individual section of a course in a given semester upon application by the course instructor. For courses at the undergraduate level at the Marine Institute, such a waiver may be granted by the Committee on Undergraduate Studies and for courses at the graduate level at the Marine Institute, such a waiver may be granted by the Committee on Graduate Studies. For all other courses, such a waiver may be granted by the appropriate faculty or school; at the end of each semester the academic council shall be notified of waivers granted.
2. Instructors shall mark and return all work in a timely manner. In courses where evaluation includes a final examination, instructors shall make all reasonable efforts to mark and return all work before the beginning of the examination period, provided that students submit this work by the due date specified in the method of evaluation.
Only courses evaluated using final grades with associated numeric grades are included in the calculation of all averages. Credit received as a result of transfer credit and challenge for credit are not included in the calculation.
The Term average is a method of expressing a student's performance for the semester. The average is based on final grades received in courses graded on a numeric scale. The term average is calculated by computing the sum of the grade in each course and dividing that sum by the total number of courses.
The Cumulative average is a method of expressing a student's performance over the student's academic career. Where a course is attempted more than once, only the best attempt is included in the cumulative average. The cumulative average is calculated by computing the sum of the grade in each course and dividing that sum by the total number of courses attempted.
7.3.2 Advanced Diploma and Post-Graduate Certificate Programs
7.3.3 Technology and Technician Diploma Programs
7.3.4 Technical Certificate Program
1. These regulations will be applied at the end of each semester to full-time students only as described in Section 4.2 – Classification of Students and include students who later drop courses after the last day for adding courses in a semester or session and change their status to that of a part-time student.
2. At the end of each semester a student’s end of term academic standing shall be denoted on a student’s grade report or transcript. In the determination of end of terms status, the total count of courses taken in a semester includes courses graded numerically and on a PAS/FAL basis.
3. Students who meet the academic criteria for continuance at the Marine institute but who have not registered for courses for three or more consecutive semesters are required to apply for readmission to the Marine Institute in accordance with Section 1.2 – Admission/Readmission Requirements of the Marine Institute Academic Calendar.
4. Students who are required to withdraw for two semesters will be eligible to register again for courses subject to the following schedule:

1. In general, students enrolled in technology and technician diploma programs, whose end of term academic standing falls in the category of conditional standing for two consecutive semesters will be required to withdraw from the Marine Institute for two semesters. Due to the variable length of technical sessions and work terms, and the fact that many courses in these sessions are graded on a PAS/FAL basis, end of term academic standing in these sessions is not a consideration for assigning withdrawal status based on conditional standing.

Student completing advanced diploma, post-graduate certificate, technology and technician diploma, as well as technical certificate programs will normally complete courses as described in the program schedule for their cohort. Students following the schedule should be able to complete their program in the published time frame. In all instances, requirements for prerequisite and co-requisite courses must be satisfied. The official program and course outlines contain information regarding such requirements.
1. Changes in regulations governing programs may occur from time to time. Students who have followed the program structure for their cohort and have continuous registration from one semester to another, may complete the requirements for graduation following the regulations in place when they started their program.
2. Students who have not followed the program structure for their cohort for the following reasons:
a. requirement to withdraw,
b. taken semester(s) off for medical or other reasons,
c. have not been successful in courses,
d. may be required to complete additional courses to meet program requirements under new cohort regulations that may have come into effect since the start of their program.
1. Students registered in an advanced diploma, post-graduate certificate programs who are academically dismissed may appeal the decision to the Marine Institute Graduate Studies Committee at MIRegistrar@mi.mun.ca. Such appeals will only be considered with the recommendation of the program chair and school head.
2. Students registered in diploma of technology and technician diploma programs who are required to withdraw three times, and students registered in technical certificate programs who are required to withdraw two times will be academically dismissed and ineligible for readmission. Students in this category may appeal the decision to the Marine Institute Undergraduate Studies Committee at MIRegistrar@mi.mun.ca. Such appeals will only be considered with the recommendation of their program chair and school head.
3. The Marine Institute reserves the right to deny a student readmission where there is a reasonable likelihood that the student's health or behaviour could endanger the lives, health, or safety of other persons on-campus or off-campus where such a location pertains to Marine Institute studies. Such decisions will be made by the School Head and Manager of Student Affairs in consultation with appropriate health care and risk management professionals. If the Marine Institute denies a student readmission, the student must be advised of the nature of the case, must be provided with an opportunity to answer the case, and must be advised of the right to appeal before the penalty imposed takes effect. For information regarding the appeal procedure refer to Section 10.0 – Appeals Policy and Procedure.
4. These regulations notwithstanding, the readmission of any student at the Marine Institute is subject to all Marine Institute regulations.
